1. Information We Collect

When you sign up for coaching services on KenyanRunning.com, we collect your name, email address, phone number (optional), and information about your running goals and fitness level. We use this information solely to provide and improve your coaching experience.

2. Payment Information

All payment processing is handled by Stripe, Inc. KenyanRunning LLC never stores your credit card number, CVV, or full card details on our servers. When you subscribe, you are redirected to a Stripe-hosted checkout page. Stripe's privacy policy applies to the handling of your payment data: stripe.com/privacy.

3. How We Use Your Information

3a. Storage of Coach-Athlete Communications via WhatsApp

Summary: When you use WhatsApp to communicate with your coach, those messages are stored securely for up to 12 months after your subscription ends, to maintain coaching records and resolve disputes. Full legal detail below.

When you communicate with your coach through WhatsApp as part of your subscription, KenyanRunning LLC logs and stores those conversations in a secure database. For each message, we retain: the message direction (sent or received), the full message body, the timestamp, and a reference linking the message to your account record. We do not store WhatsApp profile information, phone numbers beyond what you provide at signup, or any data from WhatsApp conversations unrelated to your coaching engagement.

We store this data for the following purposes and on the following legal bases: (a) contractual performance — to maintain an accurate record of coaching instructions, training guidance, and commitments made by your coach, which is necessary to deliver the service you subscribed to; (b) legitimate interests — to enable dispute resolution, coach quality oversight, and continuity of service if your coach changes mid-subscription; and (c) legal compliance — to respond to valid legal requests where required.

If you are located in the European Economic Area or United Kingdom, our legal basis for this processing is Article 6(1)(b) of the GDPR (performance of a contract) and Article 6(1)(f) (legitimate interests, as described above). You have the right to access, correct, or request deletion of your stored communications by contacting us at privacy@kenyanrunning.com. Deletion requests will be processed within 30 days except where retention is required for ongoing legal proceedings or regulatory obligations. If you are a California resident, this data falls within the category of "professional or employment-related information" and "inferences drawn from personal information" under the CCPA, and you have the right to know, delete, and opt out of sale of this information (we do not sell it). Message data is retained for the duration of your active subscription plus 12 months following account closure, after which it is permanently deleted.

4. Third-Party Services

We share your name and email with your assigned coach so they can communicate your training plans. The only third-party payment processor we use is Stripe. We do not sell, rent, or trade your personal information to any other third parties.

5. Data Retention

We retain your account information for as long as your subscription is active. If you cancel your subscription and request account deletion, we will delete your personal data within 30 days, except where we are required to retain it for legal or tax compliance purposes. WhatsApp message data is retained for the duration of your active subscription plus 12 months following account closure.

6. Your Rights

You have the right to access, correct, or delete your personal data at any time. To exercise these rights, email us at privacy@kenyanrunning.com with the subject line "Data Request" and we will respond within 30 days.
